We sat down with our Sales Manager, Whitney, who walks Charleston-area planners and Southeast event producers through this exact conversation on the regular. Here's what she had to say...

What's the first thing you ask someone who's starting to plan their event rentals?
Honestly, budget. I know it's not the fun question, but it's the one that saves the most time. Once I know the number, whether it's for a wedding, a corporate gala, or a full brand activation, I can steer you toward pieces that actually fit instead of getting your heart set on something we'd have to talk you out of later.
Okay, what's next?
I want to know what you already know you need. Tables, chairs, a lounge setup, a bar, staging, whatever's non-negotiable for your event. It doesn't have to be a perfect list. Just give me the basics and we'll build a fully customized rental plan from there.
Guest count feels obvious, but why does it matter so much to you?
Because it changes everything. A smaller wedding might only need one bar or one lounge area. A large-scale gala or festival VIP experience? You're probably looking at multiple bars, several lounge zones, or high-touch guest experiences spread across the venue. And if your number's still moving, tell me. We'll plan differently for "we think 120" versus "definitely 150," or for a corporate activation that could scale up last minute.
How do you get a feel for someone's style or brand?
Visuals and moodboards are the easiest way to convey a client's vision and style. Or I'll ask them to describe their style like, 'moody and romantic', 'bright and playful', 'sleek and modern'...whatever it is, even a loose vibe helps us pull the right pieces. For corporate clients designing brand activations especially, I want to know the story you're trying to tell. This part is honestly my favorite. It's where the vision starts coming to life.
What about the venue itself, how does that come into play?
All the time, no matter what kind of event it is. Some venues have load-in windows, elevator restrictions, or certain rentals that they provide in-house. Film and TV sets often come with their own access rules too. I'd rather find that out on day one than the week of your event.
Do ceremony and reception locations matter for rentals?
Yes, more than people expect, and it's not just weddings. If your ceremony and reception are in two different spots, or if you're producing a multi-location event like a festival or a corporate gathering with several activation points, we might need to double up on certain items or plan out moving pieces between locations. Good to know early.

You mentioned budget and style, what about things people DON'T want?
Honestly, sometimes that's easier for people to answer. Tell me what's off the table, whether it's a color, a style, or a piece that just doesn't fit the brand, and I can skip right past it. It narrows things down fast.
If someone can't have everything, how do you help them prioritize?
I ask what matters most. Is the lounge the star of the show? Is the bar the centerpiece? Are you building a camera-ready vignette for content or press? Once I know your priority, I know where to focus the budget and the creativity.

Do you need inspiration pictures, or can people just describe what they want?
Pictures, always. One photo tells me more than five minutes of description. Even a messy Pinterest board, a brand deck, or a mood board from a production team helps.
Last one: What does the venue already provide?
This one saves people money more than anything else on this list. Some venues include tables and chairs, some come with nothing. Others are blank canvases built for full-scale immersive rentals. I always ask before we start building your order, so you're never paying twice for something you already have.
